OFFICE-RESEARCH INTERNSHIP
Office internships can be completed in architectural design departments of public or private institutions, either domestically or abroad.
Research internships can be completed in planning units of university endowment funds, in working groups of the Chamber of Architects, in research and development units of public and private organizations, in university academic departments, and at archaeological excavation sites.

We recommend that you carefully read the YTU Faculty of Architecture Internship Implementation Principles for the requirements of the Office-Research Internship process.
1. Office-Research Internship Application
a. Internship applications must be submitted by the end of the final exam period for the relevant academic term. In special cases—such as institutions announcing their internship schedules late or offers from the National Internship Program—applications may be accepted without a time limit, provided the relevant documents are submitted and approved by the Departmental Internship Committees.
b. For internship applications, students must have the following documents approved by the relevant units prior to the internship and submit them to the Departmental Internship Committees via the published email address (mimburostaji@yildiz.edu.tr).

c. The student’s passport-sized photo must be included in the required fields on the forms. Additionally, all required fields must be signed or stamped by the relevant person.
d. Documents may be printed and filled out by hand, or they may be prepared, signed, and stamped entirely in a digital format.
e. The authorized person approving the internship (with a signature and stamp) must be an Architect, Urban Planner, or a specialist in a specific field (such as an archaeologist or sociologist) with at least 5 (five) years of professional experience relevant to the subject of the internship. Evidence that the authorized person approving the internship has at least 5 (five) years of professional experience (such as the university where they received their bachelor’s degree, their department, and graduation date (day, month, and year), etc.) must be provided in writing in the Internship Site Introduction Document.
f. Internships are conducted during academic breaks. Work performed on official holidays is not counted toward the internship period. Internships are generally conducted during months that coincide with mid-semester or summer breaks. However, in the situations listed below where internships are not conducted during these months, the internship continues alongside academic activities; internships cannot be conducted on days when the student has classes or exams:
- Students who have completed their fourth semester or have successfully passed all courses in their program may complete their internship during the academic term. Students taking courses in Summer School may complete their internship during the summer term.
- Although work performed on official holidays is not counted toward the internship period, students who have (including Saturdays and/or Sundays) have at least 3 (three) full working days available (taking into account the course and exam schedule for the relevant semester or Summer School, on days when they have no classes or exams) may complete their internship alongside their academic studies. In this case, the Capstone Project will not be considered.
- If a student has completed all their courses but has not yet completed their internship, they may complete the internship at any time.
g. Internships may begin no earlier than the 10th day following the Office-Research Internship Committee’s approval of the application.
h. The duration of an office internship may be a minimum of 10 and a maximum of 60 days. The duration of a research internship may be a minimum of 10 and a maximum of 30 days. The start and end dates of the internship, as well as the total number of internship days, must be consistent across all documents.
i. All days on which internship work will be performed must be marked individually on the Internship Calendar, and the student’s first and last name must be written at the bottom of the calendar and signed.
j. When preparing the documents, care must be taken to ensure that the structure of the forms is not altered and that sections on the document do not extend onto the second page.
k. After all forms and documents specified for the application have been completed, they must be checked to ensure they are complete and comply with the above rules, and they must be scanned in A4 (210–297 mm) size, (handwritten documents must be scanned neatly so they are easily readable on screen) to mimburostaji@yildiz.edu.tr as an email attachment. The following text must be included in the email body:
“To the Office-Research Internship Committee,
I would like to complete my …-day office internship at the institution named … between … and … I hereby submit the attached documents (names of documents attached), which I have prepared in accordance with the rules, for your approval.

l. The aforementioned documents will be reviewed by the Office-Research Internship Committee; if deemed appropriate, they will be approved, signed, and returned to the student via email.
m. The student must submit, along with these documents approved by the Office-Research Internship Committee, one fully completed copy each of the following forms, with all required fields signed and stamped: FR-0285-General Health Insurance Declaration and Commitment Form, one copy of the FR-1266-Information Form on Unemployment Fund Contributions to Internship Wages, and a front-and-back photocopy of their Turkish ID card (national ID), all filled out completely and with all required fields signed and stamped, and combined into a single PDF file no larger than 5 MBin a single PDF file to mimblm@yildiz.edu.tr as an email attachment. The following text must be included in the body of the email:
“To the Department of Architecture,
I wish to complete my …-day office internship at the institution named … between … and … I have attached the FR-0284 Yıldız Technical University SGK Internship Application Form, approved by the Office-Research Internship Committee, along with the Internship Schedule; the FR-0285-General Health Insurance Declaration and Commitment Form, the FR-1266- Information Form on Unemployment Fund Contributions to Internship Stipends, and a photocopy of my Turkish ID card.

Students wishing to complete an internship abroad must also prepare these documents (in Turkish), have them signed, and have them stamped. If the host institution requests it, it is the student’s responsibility to provide an oral or written explanation in the relevant language.
Once all required application forms have been submitted to the Department of Architecture in a complete and error-free manner, the internship application is considered complete, and the student may carry out their internship activities during the dates specified in the application.
2. Conducting the Internship—Office Research Internship Activities
a. If there is a change in the person supervising the student’s work during the process, one copy of the FR-1436-Faculty of Architecture, Department of Architecture Internship Site Supervisor Change Form must be completed and submitted via email to mimburostaji@yildiz.edu.tr for approval. The new person who will supervise the student’s work must also be an architect or urban planner with at least 5 years of professional experience. The following text must be included in the email:
“To the Office-Research Internship Committee,
I am currently completing my …-day office internship at the institution named … between … and … However, the person supervising my work has changed. I hereby submit the attached PDF file containing the FR-1436 Internship Site Supervisor Change Form, which I have prepared in accordance with the regulations, for your approval.

b. In the event that the internship cannot be completed for any reason, the student must submit a written request to the Department of Architecture explaining the situation and the reason. A copy of this petition must also be sent to the Office-Research Internship Committee via mimburostaji@yildiz.edu.tr for information purposes.
c. If the internship cannot be completed within the dates specified in the application for any reason, the student must write a letter explaining the situation and send it to the Office-Research Internship Committee via mimburostaji@yildiz.edu.tradresi.
3. Office Internship File Submission
According to the Internship Implementation Principles of the Faculty of Architecture at Yıldız Technical University, students must submit their internship portfolios no later than one month after the completion of their internship work; internship portfolios not submitted within one month will not be evaluated. Students must

in accordance with the following rules:
a. The internship start and end dates and the total number of internship days listed in the FR-1875-Yıldız Technical University Internship Logbook and the FR-1878-Faculty of Architecture Internship Record and Evaluation Form must match those in the application documents.
b. All documents must bear the signature and stamp (which may also be digital) of the person supervising the student’s work.
c. If the person supervising the student’s work is unable to sign and stamp each page of the FR-1875-Yıldız Technical University Internship Logbook separately, they may write a signed and stamped (either wet or digital) letter addressed to the Office of the Department of Architecture, Faculty of Architecture, Yıldız Technical University-Research Internship Committee, stating that they have reviewed, examined, and approved the student’s internship file. This letter (scanned if signed by hand) must be submitted in PDF format along with the documents listed above. The text of the relevant letter should be as follows:
“To the Office-Research Internship Committee,
The internship logbook of the student named ........., student ID number ....., who completed a ...-day office internship at our institution named ... between ... and ... has been reviewed by us. We hereby declare that no artificial intelligence tools were used in the preparation of the internship logbook and wish to confirm that the logbook has been approved by us.

d. The student must describe the activities performed on each workday of the internship in detail and in accordance with spelling rules, using at least 150 words, 12-point Times New Roman or Calibri font, and 1.5 (one and a half) line spacing, They must describe how these activities contributed to their education using active sentences (e.g., “I made a drawing”), explain the details, and specify what they learned and how the activity contributed to their education. Artificial intelligence software must not be used in the preparation of these texts.
e. At least one easily recognizable visual representing the activity described in this text must be included either on the same page or, depending on the length of the text, on the second page of this workday. Each visual should be assigned a figure number (Figure No. 1, 2, … 35, … from the beginning to the end of the notebook) and given a short title. A reference to this visual should be made in the relevant part of the text as “See Figure No. 24.”
f. Below each illustration, the type of work depicted, the first and last name of the person who performed the work, and the date the work was performed must be written.
g. The student should describe only the work they have performed in the internship log. If they have benefited from work performed by someone else while carrying out an assigned task, they must clearly indicate this. Even if two different students are working at the same institution during the same time period, their internship journals must not be identical and must not contain text or images that are very similar to one another.
h. In the box labeled “Work Day” on each Internship Log, the student must indicate which day of the internship it is.
i. Before the internship file is submitted, the authorized official approving the internship must access the form at https://docs.google.com/forms/d/e/1FAIpQLSc74WAgA-zWd20MW7ZpIRUsE1HVY9-x03Eep7Ttr4EaGPLg9g/viewform?usp=sf_link.
j. The student must prepare the FR-1875-Yıldız Technical University Internship Logbook and the FR-1878-Faculty of Architecture Internship Record and Evaluation Forminto separate PDF files of reasonable size (the Internship File must not exceed 15 MB, and other documents must not exceed 1 MB) and submit them as email attachments to the Office-Research Internship Committee via mimburostaji@yildiz.edu.tr. The following text must be included in the email:
“To the Office-Research Internship Committee,
I completed my …-day office internship at the institution named … between … and … I ensured that the authorized representative who approved my internship participated in the FR-0961-Architecture Department External Stakeholder Satisfaction Survey (Employer). I hereby submit the attached PDF file, which contains the FR-1875-Yıldız Technical University Internship Logbook and the FR-1878-Faculty of Architecture Internship Record and Evaluation Form, prepared in accordance with the regulations, for your review.

k. The Office-Research Internship Committee will evaluate the student’s activities on each workday during the internship by reading these texts and reviewing the accompanying images. Documents that do not comply with the above rules—those lacking sufficient detail or length, poorly written, or contain spelling errors, or images that are unclear or too small may result in the student’s work for that workday not being understood, and consequently, that day may not be accepted.
l. The evaluation period is one month, starting from the date the relevant documents are submitted to the Office–Research Internship Committee in a complete and error-free manner. Within this period, the Office–Research Internship Committee will notify the Department of Architecture and the student of the evaluation result.
m. The Department of Architecture must notify the Office of Student Affairs of the result no later than the end of the semester following the internship evaluation and update the current student information system accordingly.
n. If a decision to require corrections is made, the student must comply with the Committee’s recommendations within one month at the latest and resubmit the revised FR-1875-Yıldız Technical University Internship Log via email. Otherwise, the internship will be deemed rejected.
o. If a rejection decision is issued, the student may appeal to the Department of Architecture within one week of being notified of the decision. The file will be reviewed again by the Commission to determine whether an error occurred.
